Spectrum Community Services, Inc. (Spectrum) is seeking proposals for two printers — one color, one black and white — for usage in an office environment.

Proposals will not be accepted after the date and time stated above. Incomplete proposals or proposals that do not conform to the requirements specified herein will not be considered. Issuance of the RFP does not obligate Spectrum to award a contract, nor is Spectrum liable for any costs incurred by the proposer in the preparation and submission of proposals for the subject work. Spectrum retains the right to award all or parts of this contract to several bidders, to not select any bidders, and/or to re-solicit proposals. The act of submitting a proposal is a declaration that the proposer has read the RFP and understands all the requirements and conditions.

Questions and Answers

A collection of questions (and answers) we've received from various invitees:
 
As it relates to the printing of postcards, how much of the usage is this application and what is the paper weight needed to be supported?
Most of the printing will be for "regular" paper.

The postcards we're currently using are: 

9 x 13 cm
100#Cover Basis Weight
270 GSM
95 M Weight
Short Grain Direction
 
If for some reason this is problematic, we can always change postcard types. We don't have that many in stock.
 
How many run lengths would this be as well?   10, 100, 1000 for example.
We currently bulk print postcards from a print shop, and then attach address labels as needed on a day to day basis.
This would allow us to print the postcards ourselves, including the address, so it would only need to happen in small batches- say, 10 at a time at most.

 

Envelopes.   Same questions as postcards.  Run lengths, sizes?
We're not sure yet about how we'd be using envelope printing, as we currently don't use it (since we lack the function).
Envelope sizes might include 6"x9" and #10- letter trifold size.

What would you like to fold and what kind of fold?  Bifold, trifold?

It would be nice to have both, but if one has to be picked it would be trifold.
 
Do you require faxing on both devices?
No- we have internet faxing, and we'll just scan and then internet fax any faxes needed.
